Documents

The Documents page of a project keeps the files of its bid package: the drawings, the specifications, the addenda, the bid forms, the quotes and the spreadsheets. The files are private: only the people who can see the project can open them.

Can't find it?

What you see depends on your role. If the menu, a button or a setting on this page is missing, ask your administrator to give you the permission listed above or to turn on the feature. Only administrators can turn features on and change site settings.

Add a document

  1. Open the project and click Documents.
  2. Under Add a document, pick the Type of the document.
  3. For an addendum, check the Addendum number. The page suggests the next number.
  4. In Received, enter the date you received the document.
  5. In Title, type a short title, for example Electrical drawings, 100% CD. When you keep it empty, the title is the file name.
  6. Click Choose File and pick the file.
  7. Click Upload.

The page shows the progress. When the upload is complete, the document shows in the list.

TypeUse it for
DrawingsA set of drawings. A PDF set is split into sheets, one per page.
SpecificationsThe project manual or the specifications.
AddendumAn addendum, with its number. A PDF addendum is split into sheets too.
Bid formThe bid form, a unit price schedule or the list of alternates.
QuoteA quote from a vendor or a subcontractor.
SpreadsheetA spreadsheet, such as a fixture list or an owner bid schedule.
OtherAny other file, such as photos or site notes.

You can add PDF, Word, Excel, CSV, text, RTF and image files (PNG, JPEG and TIFF). The same file cannot be added twice to a project: the page tells you which document already has it.

When an upload stops

A large file is sent in parts. If the upload stops, for example because the connection fails, the page says so. Choose the same file again and click Upload: the upload continues where it stopped, and the page shows Resuming. This also works after you close the page, for one day.

Split into sheets

After you add a drawing set or an addendum in PDF, the site splits it into sheets, one per page. This takes a few seconds; the document shows Splitting into sheets until it is done, and then the number of sheets. The site reads the sheet number, the title, the discipline and the scale from the title block of each page. See Sheets.

If a document shows Could not be split, the reason is under its name. Check that the file is a PDF that opens, then click Split again.

Work with a document

On each row of the list:

  • Click the title, or Download, to download the file.
  • Click Sheets to see the sheets of a drawing set or an addendum.
  • Click Edit to change the title, the type, the addendum number, the date received or the notes. When you change a drawing set to a type that is not split, its sheets are deleted. When you change a document to Drawings or Addendum, it is split into sheets.
  • Click Split again to split the document into sheets again. The changes you made to its sheets are lost.
  • Click Delete to delete the document, its file and its sheets. You cannot undo it.

Addenda

An addendum changes the bid package before the bid is due. Add each addendum as a document of the Addendum type, with its number: 1 for the first addendum, 2 for the second, and so on. Two addenda of a project cannot have the same number.

When an addendum in PDF reissues a sheet, the sheet in the addendum replaces the earlier sheet with the same number. The sheet index shows which sheets were replaced. The project page shows the number of documents, sheets and addenda under Bid package.
